BarMUN XVII Financial Aid
Financial aid is available on a case-by-case basis. If you would like to apply for a financial aid package of any kind (to cover attendance fees, hotel costs, et cetera), please send an email to affairs@barmun.org, dg@barmun.org, and sg@barmun.org. We would be happy to assist your delegation.

After registering for BarMUN XVII, please be on the lookout for an invoice from BarMUN XVII’s Director of Delegate Affairs, Abigail Lee. Refer to your invoice for information on how to pay your fees.
Your delegation fee is not refundable; once you register, you agree to pay this fee. Delegate and advisor fees may be refunded in accordance with the delegation reduction policy listed below, but delegation fees will not be waived or returned.
All registration fees must be received by September 13, 2024, at 11.59 p.m. Eastern Time. Late payments will be assessed a $30 late fee, unless previously waived by the Director of Delegate Affairs, Director-Generals, and Secretary-General. This does not include hotel fees, which are not deferrable.

PAYMENT
Your invoice indicates the amount that is due for your registration. Payment may be made via Eventbrite (for credit card payments) or check, however, payments done on Eventbrite are subject to additional fees. The BarMUN XVII Eventbrite is now open; your invoice indicates the ticket types and quantities that you must purchase.
Please do not make any payments with the Eventbrite link until your delegation has received an invoice from our Director of Delegate Affairs, Abigail Lee.
HOTEL EXCLUSIVITY FEES
The Boston Park Plaza is the official venue of BarMUN XVII, and group rates are available for attendees at this hotel only. Delegations who do not book with this hotel will be assessed an additional exclusivity fee of $10 per delegate per night.
Your hotel reservation will be verified upon check-in for BarMUN XVII.
Information on how to book hotel rooms, as well as relevant points of contact, will be sent out in the months leading up to the conference.
Please note that local delegations - those whose campuses are located within 50 miles of downtown Boston - will not be assessed this fee if they choose to lodge on their own campus. Your exclusivity fee will also be waived should the hotel reach capacity.
DELEGATIONS ATTENDING FROM OUTSIDE THE USA
BarMUN XVII, the Boston University International Affairs Association, and Boston University welcome delegations from all across the world to attend our conference, no matter their country of origin. However, university regulations do not allow us to sponsor visas that may be required to enter the United States. Please consult the United States Department of State and your country’s equivalent office to ensure that all members of your delegation are able to obtain the permits necessary to pass through customs.
Before departing for BarMUN XVII, ensure that all members of your delegation have valid passports that do not expire before April 30, 2025. Travelers with passports that expire before this date may experience difficulty entering the United States. We also recommend that all travelers keep their passports in a secure location throughout the conference.
All fees must be paid in United States dollars (USD).
DELEGATION REDUCTION POLICY
If you must reduce your delegation size after registration, please email affairs@barmun.org as soon as possible. Depending on the date you request your change, you may still have to pay a portion of the fees for the dropped delegates. Increasing your delegation size will not result in a fee.

50% Fee - Until September 13, 2024
Requests to raise or lower your delegation size will not be honored after September 12. If your request is approved, you will be issued a new invoice.
BARMUN XVII REFUND POLICY
Regardless of the time that you request a refund, any non-refundable fees must still be paid. Your delegation is fully responsible for coordinating with its hotel, airline, and/or other travel service to cancel any reservations and obtain any refunds. Listed below is our total refund policy if your delegation is no longer able to attend our conference.
50% Refund Fee - Until July 3, 2024
80% Refund Fee - Until September 13, 2024
Appeals may be granted by the BarMUN XVII Secretariat in extreme cases. If your delegation can no longer attend BarMUN XVII and you would like to receive a larger refund than listed above, please reach out to affairs@barmun.org and your request will be duly considered. Refer to the document attached for details regarding our refund policy concerning inclement weather, emergencies, and more.
DELEGATION SIZE CLASSIFICATIONS
Small delegations are classified as any delegation bringing 1-11 delegates. Solo and independent delegates are welcome to attend BarMUN XVII, and they will still be considered for individual awards.
Large delegations are delegations bringing 12 or more delegates to BarMUN XVII.
To be considered for a delegation award, your delegation must bring at least 6 delegates.
These numbers are calculated based on the number of delegates who check in to the conference, not the amount that register. For example, if your delegation registers 12 delegates, but only 11 attend the conference, you will be considered a small delegation when awards are calculated.
